It’s easy to lose track of how many SaaS apps you have, whether they’re the right options, and whether you’re spending more than you need to.

Leveraging software as a service options provides an easy way to ensure your team has proven digital tools to effectively and efficiently do their work. With feedback provided by a broad pool of users and maintenance, security and updates being primarily managed by the provider, company leaders can be confident their internal software is on par with their competitors’.

However, the ease and convenience of adopting SaaS tools can be a double-edged sword: Without careful oversight, it’s easy to lose track of how many apps are in use, whether they’re really the optimal options for your team, and whether you’re spending more than you think (or need to). Below, 20 members of Forbes Technology Council share tips to help leaders ensure their companies are achieving maximum efficiency and value through their SaaS usage.

1. Make Sure You’re Monitoring All Apps In Use

Companies usually have adequate policies powered by identity platforms to grant and remove access to SaaS apps when employees join and leave the company or when they change roles. However, tools that are not “birthright” apps can fall outside of those policies. Also, most organizations don’t consider how an app is being used or pull back or downgrade to a different license based on actual use.

2. Integrate Tools Deeply And Intelligently

A key failure in SaaS optimization is the lack of intelligent connectivity. Organizations often miss maximizing their SaaS investments by not integrating their tools deeply and intelligently. Integration for seamless data flow and custom automated workflows enhances efficiency, fosters data-driven decisions and transforms how organizations leverage their SaaS ecosystems.

3. Thoroughly Train End Users

Inadequate onboarding and training programs lead to reduced efficiency and underutilization of software features. For example, a company using project management software can enhance optimization by tailoring training programs to different user roles, ensuring team members understand the features relevant to their responsibilities.

4. Carefully Review Licensing Needs And Agreements

Many organizations have been sold the dream of less expensive technology landscapes, moving to SaaS models based solely on operating expenses, only to see a significant increase in costs as they fail to monitor the usage and appropriateness of what’s been licensed. Ask, “Is perpetual, individual or concurrent licensing required, and does everyone need the same level of service?” Review these details and reduce costs!

5. Think About Adoption As Much As Use Cases

A common oversight is the assumption that users will simply realize a new tool exists the minute it becomes available. In reality, everything has a customer acquisition cost. Whether you’re rolling out a new enterprise resource planning system or asking clinicians to leverage a new care tool, think about the adoption strategy as much as the use case. Even if the technology adds significant value, don’t assume users will focus on it.

6. Ensure You’re Leveraging All The Features

Utilizing only some features and continuing with antiquated processes are two major reasons enterprises don’t get full value from their SaaS platforms. Most SaaS platforms provide functionality that exceeds what they were originally acquired for. Companies should look into additional use cases they can solve with the tools. SaaS brings industry-standard practices to many problems for better processes.

7. Look For Solutions That ‘Wear Many Hats’

The key to optimizing SaaS usage is consolidation and value enhancement. As more organizations feel the pressure of growing SaaS expenses, they need to opt for solutions that “wear many hats.” When selecting a SaaS product, IT leaders should think not only about the primary offering, but also about how it can augment some of the products that the company is currently investing in (or help eliminate them altogether).

8. Assign Service Owners To Each SaaS Product

Assigning a service owner to each SaaS can optimize ROI. Owners not only help design, manage and support the service, but also expand its adoption. That entails nurturing a group of champions, notifying users about new capabilities and demonstrating them, teaching appropriate and secure use, and analyzing metrics. In bundles such as Microsoft 365, having multiple service owners (for security, SharePoint, Teams and so on) can maximize value.

9. Regularly Assess Your Organizational Needs

One way organizations fail to optimize their SaaS usage is by not actively managing and monitoring their subscriptions. By actively optimizing subscriptions, organizations can not only reduce costs, but also improve the overall efficiency of their software tools. Regularly assessing the needs of the organization and aligning subscriptions with usage ensures that resources are allocated wisely.

10. Calculate The Total Cost Of Your SaaS Portfolio

Organizations frequently acquire various SaaS subscriptions over time to address specific needs or challenges. However, without a structured approach to subscription portfolio management, a company may lack visibility into the total cost of its SaaS portfolio, making it challenging to assess the overall financial impact and return on investment.

11. Get A Holistic View Of Cloud Workloads

The insatiable demand for SaaS applications is creating an IT environment where uncontrolled SaaS sprawl results in lower resource utilization, higher costs and rising cybersecurity risk. Without clear visibility into SaaS application usage, organizations are flying blind, which is why it’s critical to get a holistic view of your cloud workloads and manage them wisely.

12. Routinely Eliminate Unused Licenses

Continuously monitor SaaS costs and assess whether the value derived from each subscription justifies the expense. Ensure that employees are trained effectively on the SaaS tools they use. Adjust the number of licenses or seats for each SaaS tool based on actual usage, and eliminate unused licenses to reduce costs.

13. Establish A Rigid Evaluation Process For New Solutions

Organizations find themselves with a proliferation of SaaS solutions because a person or team decided they needed a specific capability and didn’t check to see if the capability existed in an already-licensed solution. This can be expensive. IT should put a rigid evaluation process in place that looks at individual and team requirements to see if the capabilities needed can be addressed by existing tech.

14. Pay Attention To Data Security And Compliance

To avoid data breaches and legal consequences, organizations must pay more attention to data security and compliance when adopting SaaS solutions. Thoroughly vet SaaS providers for security measures, implement encryption protocols and stay informed about relevant regulations. Regular audits can ensure ongoing compliance.

15. Regularly Reevaluate Each SaaS Solution In Use

Before adopting a SaaS service, you evaluate its services, performance and costs. But is that the only time you do such an evaluation? You should reevaluate your SaaS solutions on a quarterly or semi-annual basis. Is a SaaS tool still cheaper than developing an in-house solution? Is it still safe and reliable? Are there any new services available that you should be utilizing? Can you optimize any costs?

16. Analyze How Features Are Used In Different Projects

Disparate usage methods can lead to confusion, inefficiencies and quality issues. Regular SaaS utilization reviews offer a structured approach to identifying and addressing these inconsistencies. By thoroughly analyzing how features are used in different projects, organizations can standardize processes. Tailored training programs can then bridge knowledge gaps, promoting effective utilization.

17. Leverage Platforms’ Analytics And Reporting Features

Many companies underutilize the analytics and reporting features SaaS platforms offer, including insights into user behavior, efficiency and system performance. Regularly analyzing these metrics helps you make informed decisions about workflow improvements, training needs and opportunities to scale or downsize software licenses based on actual usage and ROI.

18. Ensure Alignment With Long-Term Goals

Organizations often fail in SaaS optimization due to misalignment with long-term goals. Effective strategies include integrating SaaS evaluations into strategic planning, involving cross-functional teams, conducting regular ROI analyses and ensuring user involvement in decision making. This approach ensures SaaS investments are cost-effective and aligned with organizational objectives.

19. Create And Review SBOMs

Many organizations don’t have visibility into what components are in the SaaS products they’re using or the capability to find and fix vulnerabilities in the components that affect them. With software bill of materials mandates looming for enterprises, teams must be able to produce and review SBOMs to understand their SaaS risk posture.

20. Develop A Subscription Renewal Audit Strategy

Unintended auto-renewal of SaaS licenses is a common oversight in SaaS usage, leading to unnecessary expenses. To address this, develop a subscription renewal audit strategy. Conduct frequent audits to assess whether plan expansion is required, and set reminders to notify the team well before renewals. This approach enables businesses to strategically cut off irrelevant SaaS renewals.

With software audits on the rise post-Covid, it's easy to develop phobias from the resultant chaos. Our SAM Director, May Turnbull, is here to remind you that you aren't alone!

Let us never negotiate out of fear. But let us never fear to negotiate.

I’ve headed this blog with a very powerful quote from John F Kennedy. This literally can be applied to anything in life, but for SAM (Software Asset Management)/software licensing; this particularly rings true. I have spent the majority of my life around software audits from the likes of Microsoft, SAP, Oracle, VMWare etc. etc. And today, my friends, I come to you with prescription for that Audit Phobia keeping you awake at nights….you simply need to get out in front of it and embrace it head on.

You will know from my previous blog ‘Software Vendor Audits: Keeping a Low Profile’, that there are things that you can be wary off in terms of audit triggers. Things like:

  • An unjustified drop in your spend
  • Growth or mergers without adjustments in order numbers
  • Lack of communication with your vendors/manufacturers

But my key advise then, that still stands strong today is around being proactive about managing your assets. You need to get out ahead of the looming chance of an audit and embrace it head on. Don’t shy away from negotiating either, vendors would much rather sweep some things under the rug than lose your custom.

This negotiating should actually start at the beginning of any vendor audit by the way. Right at the get-go when you are discussing scope and time scales. Don’t allow yourself to be bullied into unrealistic time frames. Many of my customers are indeed facing one of the below when they are approached for an audit:

  • Mergers/acquisitions that are underway
  • Infrastructure Changes/Upgrade projects
  • Key staff absences

These are all reasonable justifications to delay an audit and if the vendor is half sensible, they will usually entertain a postponement in lieu of the above. Be sure to consider these globally, if applicable, when considering the full scope of the engagement as well. Collating global data will require longer timescales that local endeavours.

When in doubt, make sure you partner with an establishment like EasySAM who have experience in these communications and the backing from strong legal partners like Addleshaw Goddard should discussions get heated.

The financial year end is approaching for some of the bigger software vendors - so what better time to look at how you can benefit during your software renewal(s).

With the growth in popularity of platforms such as TikTok and a lot of the ‘life hacks’ that this social media application circulates, I thought the title of this blog might appeal to those of us that crave the satisfaction that is called the ‘hack’.

It is at this time of year that we approach the financial year end of some of the bigger software giants, so there isn’t a better time to remind everyone of the powerful hacks available to you:

1. Use financial year-ends to your advantage

When companies such as software manufacturers, resellers, and service providers alike, approach their financial year ends, they are more likely than ever to incentivise a close in sale. Do your homework when strategising for the renewals ahead to take advantage of this opportunity. This hack will translate to other contracts too, you are welcome.

2. New agreements terms are a gold mine of opportunity

I have said this before, and I will say it again; if there is ever a time to negotiate the terms of your contract, it is at the beginning or at term renewal. Many organisations will spend decades accepting standard terms of agreement for their largest software assets without scrutinising and negotiating on the usage rights that they require. Be fearless my friends.

3. In 2022, you are far more likely to be over-subscribed

Whilst the recent evolution of software to ‘the cloud’ removes the likelihood of unlicensed deployments, what it does lay way to is the potential for over-subscription. If your JML (Joiners, Movers, Leavers) processes are not where they need to be, you could continue to pay for leavers long after they have moved on. As well as well over-provision on projects that have long since come to a close. Keep an eye on inactive subscriptions and periodic due diligence here will pay off.

Visibility into software usage and spending makes it easier for agencies to track technology purchases and helps them think holistically about their IT strategy.

According to Forrester, government technology use is on the rise, especially among state and local agencies, and pressure on spending is increasing.

Federal  agencies in particular are being required to implement technology across their organizations.  The Modernizing Government Technology Act, for example, would provide funds for agencies to modernize and consolidate networks, embrace cloud computing and enhance security.  The 2016 MEGABYTE Act  directs agency CIOs to establish a comprehensive software license inventory, and manage 80 percent of license spending and enterprise licenses using automated discovery tools. Starting with the 2017 fiscal year, CIOs must report on the financial savings or avoidance of spending that has resulted from software license optimization.

The message is clear:  agencies’ use of technology across their organizations must proceed as efficiently and cost effectively as possible.

1. Make visibility a priority

One of the biggest barriers to efficient management of technology is limited visibility into software usage across the organization. This makes it challenging for IT managers to identify waste and excess spending.

Inefficient or unnecessary spending can be attributed to inactive or unused accounts  — employees who aren’t using the software for their job function or role or who have left the agency entirely. Other waste comes from  users who aren’t on the appropriate subscription level, which means agencies might be paying for  a premium account even though users don’t need all that level of functionality.

Paying for unused or unnecessary software licenses is like throwing money out the window — not to mention the security and compliance risks it poses. Ultimately, it’s necessary to be able to understand which employees use what software, how they use it and for how long or often. This is the only way to truly optimize agencywide software usage.

Since the Obama administration’s cloud-first initiative was introduced, federal agencies have worked to capitalize on the efficiencies afforded by cloud software, but actual usage of these applications can be trickier to track than of on-premise applications. IT managers must understand how cloud software providers calculate usage and cost and ensure their users are on the optimal subscription. Not all of cloud providers have the incentive to be transparent.

Government CIOs and agency IT teams must account for every dollar put toward technology and link it back to agency objectives. Without visibility, they won’t be able to connect all the dots. On the flipside, knowing what’s being spent on software and services puts the CIO in the perfect position to drive agencywide cost savings and efficiency gains while minimizing security risks.

As mandated by the MEGABYTE Act, automated discovery tools are key to helping deliver this visibility. While the law applies only to federal agencies, governments at all levels can benefit from such automation and insights.

2. Learn from your peers

The City of Tampa, Fla., used a manual process to monitor and track software licenses. Information entered into an Excel spreadsheet quickly went out of date  and budgets spiraled out of control as a result.

The spreadsheet-based monitoring process was also cumbersome. A user would send his manager a request for software, which would be processed into a purchase order, which went out the vendor and,  if someone remembered, would also be sent to security to add it into their spreadsheet.

Now the city uses a software asset management solution to maintain licensing compliance, ensure illegal software is blacklisted and removed and gain useful intelligence for budgeting. It saved $20,000 from harvesting and reutilizing unused software in 12 months.

3. Think holistically

Visibility into software usage and spend makes it easier for agencies to budget and track technology purchases. It also helps them think more holistically and thoughtfully about their IT strategy.

Last spring, when the administration requested an increase in federal IT spending for fiscal year 2018, it also proposed that agencies take a more holistic approach to IT modernization. According to White House budget documents, “Modernization, in this sense, is not simply replacing individual outdated IT systems with newer ones; rather, it is a holistic approach to Federal IT that fundamentally transforms how agencies accomplish their missions.”

Whether agencies are trying to meet the requirements of the MEGABYTE Act, laying the foundation to comply with the MGT Act or simply looking to optimize their IT spend, they should take steps now to gain more visibility into organization wide software usage.

Fact: poor management of datacenter software licensing is probably costing your organization thousands, if not millions

80% of software spend now takes place within the datacenter, so the need to manage and optimize license spend here is critical. However, the complexities of vendor licensing programs, different metrics and associated stipulations around installation, usage, editions, virtualization etc. make optimization easier said than done. This means that not only is your datacenter software licensing prone to non-compliance, but you are probably wasting huge amounts of money on unnecessary licenses.

#1 Get on the front foot and take control

Don’t sit back and wait until your annual submission is due and certainly don’t wait until a vendor comes knocking with a compulsory audit notice. By then it’s often too late. You need to get on the front foot and take control of your datacenter licensing before any of the big vendors come knocking at your door.

By maintaining licensing management and compliance throughout the year, this ensures that you are fully prepared in the event of your next audit and limits any nasty surprises.

#2 Don’t rely on the licensing tools provided by the vendors

Remember the licensing tools employed by vendors such as Oracle (LMS), SAP (SLAW and USMM) and IBM (ILMT, TAD4D, BigFix) are mainly designed to capture installation and usage data. They are point-in-time and don’t facilitate any refinement, with some often only providing information which benefits the vendor, rather than supporting you in achieving licensing optimization.

They aren’t SAM tools and certainly won’t help you optimize your licensing. To manage datacenter licensing you need specialist SAM tools designed for each environment and the different challenges they can all pose.

#3 Being compliant is not the only answer

Being compliant simply means that you’re not under-licensed, but what about the unnecessary cost associated with being over-licensed or having installed software that isn’t used? Organizations waste millions every year paying for software licenses they simply aren’t using.

You need to ensure that purchased software is being used within your estate whilst taking in to consideration specific upgrade and downgrade rights.

#4 Be careful when using consultancies or licensing specialists

Employing the services of specialist licensing consultancies can be extremely costly and only usually works for point-in-time requirements. They also tend to be heavily reliant on manual processes, which by definition are prone to error and vary in quality, dependent on the level of experience/expertise of the aligned individual.

You need a dynamic compliance view that can tell you the moment you are non-compliant. This ensures that you are able to make informed business decisions.

#5 SAM tools are available, but choose carefully

Many SAM vendors claim their tools are a ‘silver bullet’, but simply can’t deliver what they promise. Most available desktop or datacenter licensing optimization tools are based on legacy technology, lack automation, struggle to process large volumes of data and do not provide a centralises view.

This often leads to  problems with inaccuracy and unreliability. Ensure you test the tools which you are considering as this will give you a better idea of which tool fully suits your needs.

#6 Remember: achieving an ELP is only the start of your journey

Establishing an ELP (effective licensing position) is just the start of SAM: it simply provides visibility and a foundation from which to begin the journey towards an optimized licensing position (OLP). Of course it’s then absolutely essential to ensure that the ELP and OLP are maintained to ensure you continue to realize all the benefits of controlled cost, minimised risk and enhanced management.

#7 Find a trusted partner

Achieving datacenter licensing optimization requires a combination of effective technology – in the form of a tool or tools – and process, in the form of services delivered by internal or external resource. Ideally you want a partner capable of offering both; however this is easier said than done. Toolset vendors tend to fall short when it comes to services and often rely on partners who don’t necessarily have an aligned agenda.

On the other hand, solution providers may offer the right services, but don’t use the right technology; hence they aren’t geared towards achieving a quick, accurate and value-for-money outcome. You need to look for a trusted partner offering a combination of highly-automated technology and services which conform to industry best practice and are executed by consultants who are experts in applying tools-based SAM to drive results of the highest quality.
